ICS (Ingredient Communication Statements)

When an ICS request is sent via email:

Accessing the Database

  • Use Remote Desktop Connection to connect to PRD-SQL-2022
  • Press the Windows Key and locate Microsoft SQL Server Tools
  • Open SQL Server Management Studio
  • Website_Prod > Tables > dbo.SCC_Ingredient_Disclosure
    1. Right Click > Edit Top 200 Rows
    2. Click the SQL button at the top of the screen to view the query
    3. Add “WHERE ([F Alias] = ‘requested_product_id’)” to the bottom
      • Should always only be 4 digits
    4. Click the green play button to the right of the SQL button
    5. Delete the results that appear

Fixing the Spreadsheet

  • Open the provided Excel spreadsheet to fix it
    1. Remove any 99s at the end of the F Alias column
    2. Check to see if any “Chemical Name” entries use the word “Proprietary
      • Replace “Proprietary” with “Not Available”
    3. Ensure that the Revision Date applies to every line
  • Copy the fixed Excel sheet cells from the F Alias to the FragranceDisclosureLevel (Excluding column names/row 1)
  • Paste the copied cells into the results of the query in the database

Checking the Website

  • Go to www.spartanchemical.com and click the hourglass icon
  • Enter the F Alias and locate the product page
    1. If the product doesn’t appear on the site, it’s possible that it’s a product we produce and label for another company (Ex: SS - Stanley Steemer)
  • Check if there is an ICS form at the bottom
    1. If so, done
    2. If not, go to Salsify
    3. Type the product code in the search bar and select the product
    4. Scroll down to see if “HAS_ING_COMM” appears under “Resources” as a property
      • Must be set to “Yes”
      • If it doesn’t exist, click “Edit” and “Add a property” to add it and set its value
    5. Go to EPI Server
    6. Click the “[SCC] Product Indexing Job” option on the left side
    7. Click “Start Manually”
      • If the process is already running, let it finish first

In the future, this should be handled via Ignition

General Help Desk Info

If a user ever reports that emails have disappeared from their inbox and aren’t in their trash:

  • It could be that their emails were accidentally sent to their archive folder
    1. This can be done if they have an email selected and hit the “backspace” key
  • You can retrieve these emails by going to the archive folder in Outlook and then clicking/dragging the emails back to the inbox

EDI Failure Reports

When an EDI Failure email appears:

Referring to Ross

  • Open Ross either on the browser or using the application
  • Type “Resolve Event Exceptions” on the left side
  • Set Trans Type to “ISO” and enter the code from the email in the “IS Document Id” slot
  • Don’t set a date, instead press the forward arrow
  • Click the entry then select “Resolve Exceptions” and read the result

Accessing the Source File

  • Use Remote Desktop Connection to connect to PRD-ROSSDML-01
  • Navigate to this directory: C:\Ross\EDI\Prod\in\archive
  • Locate the file date/timestamped to the time the email was sent
    1. Check to make sure that the code from the email matches the second column in the text file

There are multiple cases for why an EDI failure might occur:

EDI Cases

Dropshipping Order

Evidence for dropshipping comes in multiple forms, including:

  • A customer ID contains “E” at the start (end user)
  • The shipping address is directly to a customer/individual
  • STEDET as a shipping address
  • Product IDs that begin with the number 9
  • Lack of information

Solution:

  • Copy the second column’s value
  • Send an email back to EDI Failures stating “Dropship PO: (number)”

Product Issues

If Ross states “Get the part code, Not found in Product Master”:

  • There might be dashes in a product ID (Ex: 3504-05)

Solution:

  • Go to Ross
  • Enter “SCC Product Master” (under Inventory) on the left
  • Type in the NON-DASHED product ID (Ex: 350405)
  • Select any match
  • Remove the dash from the text file and add a space in order to keep the columns properly spaced
  • Re-save the file in this directory: C:\Ross\EDI\Prod\in
    1. General practice: Rename it to the same thing as it was with less text (end at a 20 for example)
  • Press the Windows Key and open “Task Scheduler
  • Right click the “EDI Inbound” task and select “Run”
    1. The file should disappear from the “in” folder
  • Email to confirm it’s taken care of

If the part is noted as “Product Status = I”:

  • The product is likely “Inactive”, SCC Product Master will show [TERM] for “terminated” in the part description

Solution:

  • Cut the product out of the text file and re-save it in the “in” folder
  • Email “Deleted:” with the cut lines
  • Run the EDI Inbound task

Note: If a product is purchased via eCommerce that should be terminated, you can find the product there and change its “Deactivate On” parameter to a day that’s already occurred (1/1/2025)

Duplicate Order

If Ross states “Check for Duplicate Order, PO matches Order ######”, nothing needs to be done.

CompuClean Order

When an EDI failure shows someone purchasing CompuClean, reply with the PO and CC Gwen to indicate that a CompuClean customer needs set up.

EDI End User Order Issues

If somebody notes an issue with an EDI order not appearing

  • Use Remote Desktop Connection to connect to PRD-ROSSDML-01
  • Navigate to this directory: C:\Ross\EDI\Prod\in
  • See if there are any files stuck in the “in” folder
    1. Check if any of them are in the “in” as well as the “archive” folder
  • Ross > Sales Order Maintenance > Modify Order
    1. Try to search via Customer Reference found in the stuck files
  • Ross > Process Files and Events
    1. Run with ISO and check the file in PRD-ROSSDML-01 at C:\Ross\Users\cmelfi

CleanCheck Access Issues

If somebody can’t access CleanCheck:

  • Go to Admin > Manage Users
  • Admins must have an email address
  • Check whether accounts are activated
  • In order to make sure an account is activated in the back end:
    1. Use Remote Desktop Connection to connect to PRD-SQL-2019
    2. Open SQL Server Manager
    3. CleanCheckDB > Tables > AspNetUsers
    4. Check the status column for the user for a 0/1
      • 1 means activated
      • 0 means deactivated
  • Change their password
    1. Test to make sure it works
  • Admin > Reports > CRM Daily Sync Logs
    1. Select All
  • Falling under wrong company
    1. Use Remote Desktop Connection to connect to PRD-SQL-2019
    2. Open SQL Server Manager
    3. CleanCheckDB > Tables > CompanyAccounts
      • Find what their ID should be
    4. CleanCheckDB > Tables > CompanyAccountRoles
      • UserId equates to their Id in AspNetUsers
      • Should tell in the first column what company they should be aligned to in the CleanCheck DB
      • Right column is their role

Setting Up EDI End Users

In SQL:

  • Remote into PRD-SQL-07
  • Find the stored procedure “scc_Update_EDI_PartMaster_EU
    1. Execute it and pass the user’s customer # (ex: E0170138)
    2. If it returns 0, it succeeded

In Ross:

  • Log into Ross
  • Maintain Trading Partners (Extended EDI)
    1. Add Trading Partners
      • Division: 00
      • Trading Partner Code:  Cust #
      • Description: Hit tab
      • Sender ID Qual: ZZ
      • EDI Sender ID: Cust #
      • Convert: No
    2. Once the “No” is pressed, a table appears at the bottom
      • Press the +
      • Monitor Type: ISO
    3. Go forward, then go back (arrows)
  • Customer Addresses (Accounts Receivable > Master)
    1. Paste the Cust # in the filter and press enter
    2. Double click the first and click “EDI Details” then “Maintain EDI Details”
      • Trading Partner Code: Cust #
      • EDI Default Warehouse: EU for end user
      • Invoice/Shipping Address: INV
      • EDI Entity ID Qualifier: ZZ
      • EDI Entity ID: Cust #
    3. Confirm Changes
    4. Do the same but for the next entry (INV)
      • Same values but make the EDI Entity ID be the Cust # + INV at the end

In eCommerce:

  • Go to Customers
  • Locate the parent customer (empty ShipTo number) associated with them
  • Copy that Customer #
  • Create a new customer and reference another customer from the same source to fill the details

eCommerce

NOTE: Can use ithelpdesk@spartanchemical.com account with standard 56 password to enter the Admin portal on Insite

Navigating to a Distributor Site

  • Go to insite
  • Go to websites
  • Find the mentioned site (Ex: Global) and click the Pencil (edit)
  • The micro site identifier is the URL path (Ex: Global)
    1. Go to orders.spartanchemical.com/(micro identifier)
  • A quick way:
    1. Administration > Website Users
    2. Find either your user or a user for the distributor site
      • Click the pencil next to them
      • Click the three dots at the top right and select “Impersonate”
        • Select the specific distributor site if prompted

Assigning Users to Sites

  • Sort by Customer ShipTo Number, look at empty entries
    1. These are the main accounts for the distributors
  • Edit > Assign website users
  • There are console users and website users
  1. Website: To use the site
  2. Console: For admins

Adding Products to EDI

  • Customers > Sort by Customer ShipTo Number
  • Select the main distributor account requested with the pencil button
    1. Select the Products tab
    2. Click the “+ Customer Product” green button at the top right
      • Enter the product # (Ex: 700505) in the Product bar and select the product
      • Don’t enter a customer product # or UoM
      • NOTE: You should always add the parent product (Ex: 7005) even when the user only requests one size be added
  • Websites > Pencil button by the distributor name
    1. Select the “Categories” section
    2. Click the pencil button by any categories the product fits within
      • Select the Products tab
      • Click the green “Assign Products” button and then search for the product you added
        • Once again, also include the parent product
      • Select all desired products and then click “Assign” at the top right
  • Catalog > Products
    1. Search for the product desired and click the pencil
      • The “Index Status” value determines whether the product has been updated and if it needs to be replicated to the site(s)
        • You want this value to say “Indexed”
      • Select the three dots at the top right > Rebuild Product Search Index
        • This job should run for every product
  • The product should be replicated to the distributor site
    1. Check to make sure and note there might be an issue with the pricing

Removing Products from EDI

  • Customers > Sort by Customer ShipTo Number
  • Select the main distributor account requested with the pencil button
    1. Select the Products tab
    2. Search for the product you want to remove
      • Select the product with the box to the left of the pencil button
      • Click the trash can icon to remove it
  • Websites > Pencil button by the distributor name
    1. Select the “Categories” section
    2. Click the pencil button by any categories the product is in
      • Select the Products tab
      • Search for the product you want to remove
        • Select the product with the box to the left
        • Click the “Unassign” button
  • Catalog > Products
    1. Search for the product and click the pencil
      • Select the three dots at the top right > Rebuild Product Search Index
  • The product should be removed from the distributor site

JOBS: Update Products from Salsify, Update Pricing For National Accounts, Rebuild Sitemap, Rebuild Search Index, Rebuild Dynamic Categories

User Password Issues

Sometimes a user will not be able to log into their eCommerce account

  • It’s possible an organization (like Core Civic) has accounts that aren’t bound to specific users
    1. Would use generic usernames
    2. Generic passwords
    3. Generic emails
  • If a user can’t get into a generic account, you can go to:
    1. Administration > Website Users
    2. Search the username and edit the user
    3. MAKE SURE TO NOTE THE USER’S EMAIL
      • Change the Email field to your personal email address
      • Save
    4. Click the 3 dots at the top right and select “Reset Password”
    5. The reset link will be sent to your personal email address
      • Change the password to what it should be per their request
    6. Change the user’s email back in the user settings

Batch Issues

  •  JUMP-01 remote
    1. From there, you can remote to other plant servers
      • PRD-FTBATCH-03 > Batch Import Service
      • PRD-PLC-03 > RSLogix5000
        • PLC ladder logic programs
    2. Files > Programs

B2BGateway: ASN Exceptions

When you receive an email from B2BGateway regarding a document and exception(s):

  • Usually a shipment or a UoM/part code issues
  • ASNs aren’t as critical as the invoices or the orders

ASNs need to be re-entered

  • Remote into PRD-ROSSDML-01
    1. B:\EDI\out\archive
    2. Locate the txt file which is associated with the general timeframe of the email (likely slightly earlier)
      • If there are multiple entries in the document, cut it down to just the relevant one
  • Run the query with the given doc # to find the order on PRD-SQL-07
    1. Query can be found here

Shipment Issues

  • Find which carrier is in the query results
  • Reference the “855_FREIGHT” txt document on the ROSSDML desktop to find the proper shipment info
    1. Copy the ENTIRE LINE (including spacing)
  • Paste the line immediately following the SHPTD line where there should be a “B 2” with nothing after it

Unit of Measure Issues

  • Find which part code is missing in the associated txt file
  • Copy the part code from the SQL query and note what the UOM value is
  • Paste it into the missing space as well as after the “UB”
  • On the second number below the UB value, add the UOM (ex: EA, CA)
  • For each change made, make sure to maintain spacing
    1. If 2 characters are added for UOM, backspace 2 spaces out

Save the resolved document (while keeping “osn_edi” at the end) into the B:\EDI\out folder

  • For shipment issues, all set
  • For unit of measure, SCC Product Master in Ross > Find product > Set up for EDI

B2BGateway: Invoice Exceptions

When you receive an email from B2BGateway regarding an invoice:

  • Remote into PRD-ROSSDML-01
    1. B:\EDI\out\archive
    2. Locate the txt file which is associated with the general timeframe of the email (likely slightly earlier)
      • If there are multiple entries in the document, cut it down to just the relevant one

Mismatched Price Totals

If B2B claims that an invoice’s calculated total is different than its inbound total:

  • Process Files and Events > OSI (clear out the other invoices)
  • Set the EDI Flag on the invoice to N and rerun the process
  • Grab the file to compare
  • Close the error (not much we can do)

Missing Purchase Order Number

  • Get the numbers from the file (Ex: 968862)
  • Ross > Purchasing > Invoices
    1. Search using the numbers from the file
    2. Copy the Invoice # from the result
      • Add it to the second line of the doc directly after the date
      • Remove the extra spaces

New Version (Ignore Previous Unless Relevant)

  • In B2BGateway, go to the Cross Reference section
    1. Locate “ASN_Info” and search for the document number
    2. If you can’t find anything regarding the invoice, click “Add Items”
      • Use document number as “InvoiceNumber” in B2B reference
  • Invoices (Ross)
    1. Search using the “Document Number” from the email as the Invoice #
    2. Grab the PO number (right side blocked by Dist Inv #)
      • Use this for “PONumber” in B2B reference
  • Sales Orders (Ross)
    1. Search using the PO number found in the previous section
    2. Grab the “Ship note”
      • Use this for “BillofLading” in B2B reference
    3. The “Ship Methd” column tells you who they ship with
      • Use the PRD-ROSS-DML freight code txt file (desktop) to match the abbreviation to a full name and use the full name in “CarrierName” in B2B reference
    4. Grab the Order Number (for next step, optional if ship methd doesn’t work)
  • Shipment insight (PRD-WMS-02)
    1. Use the order number as the “Shipment id” field
    2. Select “Include confirmed shipments”
    3. Click the play button at the top left
    4. Click the result and grab the Carrier if you haven’t found it already
  • Entering the new B2B cross reference entry should hypothetically fix the problem going forward
    1. If another email shows up or it sticks around, put in a support ticket asking to push it through

B2BGateway: Creating new Relationship

Relationships > Create New Relationship

  • Select the trading partner (find out from customer)
  • Typically the first “relationship description”
  • Follow through the setup wizard
  • Usually 1%/OK, 10, 30
    1. Can check Ross
      • Customer Master > Show
      • Find customer > Credit Terms

After setting them up, Cross Reference section on B2B gives reference for filling the customer cross-reference spreadsheet

  • Nichols_client is a good reference
    1. The DunsNumber column is something they provide
    2. The Company Name column matches the EDI setup in Ross (INV = invoice entry)
  • SYS_TRADING_PARTNERS table on SYS_EDI_SENDER field over fin_prod SQL-07
    1. Check this field to see if the values for the left column hold any duplicates
  • When the sheet is filled, go back to the Cross Reference section
    1. See if an entry exists for the new EDI relationship
      • If so, import the CSV rows to B2B
      • If not, wait and return to this step

For EDI documents:

  • 850 is a purchase order (ISO)
  • 855 is a purchase order acknowledgement (OOA)
  • 856 is an advance ship notice (OSN or ASN)
  • 810 is an invoice (OSI)
  • These will be downloaded from SPS and sent to B2B in a customer support ticket

Salsify

  • Products > view All
  • Customize View > Customize View
    1. Add whatever description/UPC columns might be helpful
  • Create an export of the results
    1. Actions > Export Selected

On the exported Excel file

  • Enable editing mode
  • Select every row with the top left corner
  • Data > Sort
    1. Select “My data has headers”
    2. Sort by salsify:parent_id
  • Delete rows with no salsify:parent_id value that have 4 digits in the prod #
  • Attempt to match the remaining products between the two sheets (the one provided from Ferguson & the export)

vSphere (Full Server List)

  • Go to the vSphere bookmark
  • Home > Objects with most alerts > vcenter-01.spartanchemical.com
  • Expand the drop-downs until you see the full list of servers
    1. You can select a server and click the “Launch Web Console” button or the screen by the name with the green play button to remote into the server

Cleaning up Invoices (ONCE A WEEK)

Locating DML Files

In order to find the stored procedure file for a provided report number:

  • Remote into PRD-SQL-07
  • fin_prod REPORT_PRINT_CONTROLS table
    1. Query for “WHERE REPORT_NUMBER = (report)”
      • Ex: WHERE REPORT_NUMBER = 'ar_r_043/1'
    2. The SYS_STORED_PROCEDURE column is the file needed
  • Remote into PRD-ROSSDML-01
  • C:\Ross\Soft\ross_erp_80_2
    1. beta80 = test files
      • Build/edit here
    2. custom80 = SCC prod files
      • Most likely spot to find code needing edits
    3. v80/ross80 = built-in Ross DML
    4. The first 2 letters of the file name will be where you can generally expect to find it in the directory
      • Ex: “rs_retrieve_print_eu_scc” is located in the “rs” folder
    5. Go to the sub-folder’s “src” directory to find the file
      • Copy-paste the file from custom80/v80/ross80 src to the same directory but within beta80

  • Verify who the “Host Name” is who’s causing the block
  • Right click the row and select “Kill process”

Wave Order Issues

Unit of Measure Issue

  1. Go to Ross > SCC Product Master
  2. Search the product code
  3. Double click the product name (until it lets you type/edit)
  4. Forward arrow
  5. WMS Details (first option)
  6. Click "No" in the "Correct" section
  7. Change "Modify Details" to Y
  8. Forward arrow
  9. Check that the values appear
    1. If they don't, contact the user to verify
    2. If they do, you can reference them
    3. In this case, the user sent a reference that worked
  10. Go to PRD-SQL-2019
  11. Open SQL Server Management Studio

 When Logan reports that an item is appearing as “misc” when it should be a promotional item:

  • The DML for this can be found at “scc_sop_r_pack_list_print.dml”
    1. Search under the SCC_MOD_018 notes
      • This shows all of the categories assigned by SCC_SPECIFICATION_CODE values
  • Check the product code in PRODUCT_MASTER (SQL-07) for the PRODUCT_TYPE, then match the PRODUCT_TYPE in the PRODUCT_TYPES table to the SPECIFICATION_CODE

  • The category description indicates where the product will likely be matched when the order gets summarized
    1. If this is wrong, then you can change the PRODUCT_TYPE the item is assigned to in PRODUCT_MASTER
    2. In this example, we changed 99138 to PMBXPK because PMBXFG is a miscellaneous category, but PMBXPK is a promo item

Potential Fixes (Longterm)

If this becomes a consistent issue, there are a few potential ways to handle it:

  1. Use this query to select all part codes where they fall into the desired specification code
